Invoice at milestones, not at the end
Break your projects into 2-3 stages with clear milestones. Invoice at each milestone. This does three things:
- It keeps cash flowing throughout the project instead of arriving in one lump
- It trains clients to pay quickly (because work stops until they do)
- It reduces your exposure — you're never waiting on the full project fee
A typical breakdown: 40% deposit before work begins, 30% at design approval, 30% at delivery. Adjust the percentages to your work type, but the structure holds.
Send the invoice the moment the milestone is hit
Not the next morning. Not when you remember. The moment you hit send on the deliverable, the invoice should follow within minutes. The work is freshest in the client's mind right then. They're in the moment. They're happy. That's the best time to invoice.
